Spanish invoice requirements: the checklist for small businesses

A standard Spanish invoice needs more than a total and a VAT rate. Use this checklist for the seller and customer details, numbering, dates, taxable base, VAT and any special wording.

When you issue a full invoice in Spain, the required details make it clear who sold what, when, and how the tax was calculated. The main requirements are set out in article 6 of Royal Decree 1619/2012. This checklist covers the standard full invoice; simplified invoices and special transactions can follow different rules.

The basic invoice checklist

  • A unique, sequential invoice number and, where used, a series. Keep numbering in order within each series.
  • The issue date and, if different, the date the goods or services were supplied or an advance payment was received.
  • The seller’s full name or company name, address and Spanish tax identification number (NIF).
  • The customer’s full name or company name and address. Include the customer’s tax ID when required, including many domestic B2B invoices and qualifying cross-border EU transactions.
  • A clear description of the goods or services, quantities, unit prices before tax, and discounts not already included in the price.

Show the VAT calculation clearly

  • Show the taxable base, VAT rate and VAT amount. If different rates or exempt and taxable items appear on one invoice, break out the relevant taxable bases separately.
  • State the total payable and the currency. Keep the arithmetic and rounding consistent across the invoice and your accounting records.
  • For exempt, reverse-charge or other special treatments, include the wording or legal reference that applies to that transaction. Do not use a generic “VAT 0%” label when a specific exemption or reverse-charge statement is required.
  • For a payment received before the supply, show the advance and its tax treatment so the later invoice can account for it correctly.

Numbering, corrections and simplified invoices

Do not reuse an invoice number or silently edit an issued invoice. If an invoice needs a correction, issue a corrective invoice with its own number and a clear reference to the original, following the applicable Spanish rules. A simplified invoice has its own reduced set of required details and is only available in permitted cases; use a full invoice when the customer or transaction requires one.

A quick example

A Spanish supplier invoices a business customer for consulting services: the invoice identifies both parties and their tax IDs, gives the invoice number and issue date, describes the service and its supply date, and shows the taxable base, the applicable VAT rate, the VAT amount and the total. If the transaction instead qualifies for an exemption or reverse charge, the invoice needs the corresponding treatment and wording rather than the standard domestic VAT calculation.

How Tavalle helps

In Tavalle, an invoice is created from its order, with the customer and company details, invoice sequence, VAT treatment and totals carried into the document. You can review the invoice before issuing it, then keep the issued invoice and any corrective document in the customer’s history. See invoicing and VAT.

For the official checklist, see the Spanish Tax Agency’s invoice content guidance.
