Automatic e-mails

Automatic e-mails that keep the work moving

Every morning Tavalle reads the calls, visits, orders, invoices and services, and e-mails each person what needs their attention, and your customers what concerns them. Nothing to remember, nothing to send by hand.

Who gets what, and when

Morning agenda

Each user starts the day with an e-mail of today’s calls and visits: time, customer, phone number and address.

Late follow-ups

Calls and visits still scheduled after their date come back every morning until someone records the outcome.

Overdue and due-soon invoices

Sales reps get their unpaid invoices past the payment date, and those due in the next days, to call the customer in time.

Invoices to create

Accounting gets the delivered orders without an invoice and the drafts to finalize, with the total waiting.

Payment reminders to customers

Polite reminders with the invoice PDF at the steps you choose, for example 7, 21 and 35 days after the due date. They stop as soon as the invoice is paid.

Service renewals

30 days before a quarterly, half-yearly or yearly service renews, a renewal call lands in the owner’s calendar and the sales rep gets an e-mail.

Orders, deliveries and invoices

Customers receive a thank-you for their order, a delivery notice, and their invoice or credit note with the PDF.

Commission statements

When commissions are paid, the sales rep receives the list of invoices and the PDF statement.

In your company’s name, and never twice

E-mails to your customers go out from your own mailbox, signed with your company name, in English, Spanish or French: the language of your Tavalle app.

Each person only receives what concerns their own customers and zone, and the Alerts page in Tavalle shows what the next run will send and everything already sent.

  • Customer e-mails are sent once; payment reminders once per step
  • Team reminders come back each morning while the item is still open
  • Every customer e-mail appears in the customer’s history
  • The time of the daily run and the reminder steps are set for your company
FAQ

Frequently asked questions

From which address are the e-mails sent?

From your company’s own mailbox, set up when your Tavalle app is installed, so your customers see your name and their replies come to you.

Will a customer receive the same e-mail twice?

No. Every customer e-mail is recorded and sent once. Payment reminders go once per step and stop when the invoice is paid or credited.

Can I see what was sent?

Yes. The Alerts page lists what the next run will send and everything already sent, with the recipient and the date. Each person sees the alerts of their own customers and zone.

Can I switch off payment reminders to customers?

Yes. The reminder steps are set for your company, for example 7, 21 and 35 days after the due date, and reminders can be switched off completely.

In which languages are the e-mails?

In the language of your Tavalle app: English, Spanish or French. Screens, e-mails and PDFs all use it.
